Privacy Policy

WritingProcess.app is a writing-instruction platform built for K-12 classrooms. We treat student writing the way good teachers do: as the student's own work, to be protected. This policy explains what we collect, why we collect it, and the limits we put on ourselves about what we do with it.
1. Who this policy applies to
This policy covers three groups of people who use WritingProcess.app:
- Teachers and school administrators who create accounts to assign and review student writing.
- Students whose accounts are provisioned by their school through a teacher or administrator. We do not knowingly collect personal information directly from any student under 13.
- Visitors to writingprocess.app who are exploring the product but have not yet signed up.
2. What we collect
Account information
When a teacher or administrator creates an account, we collect their name, school or district affiliation, work email address, and role. We do not require or request any personal information beyond what is needed to operate a classroom account.
Student information
For students, we collect the minimum information necessary to attach their writing to their identity inside a single classroom:
- First and last name as entered by the school.
- A student identifier supplied by the school (such as a class roster ID). We do not require or request a student-issued email address, home address, phone number, or any government identifier.
- The writing they produce on our platform, plus any teacher comments, scores, and revision history attached to that writing.
- Activity associated with their own account inside our platform (signing in, opening a draft, copy-and-paste events when logging is enabled by the teacher).
Information we do not collect
We do not collect biometric data, advertising identifiers, browsing history outside our platform, location data, or any personal information about students' families. We do not track students across other websites.
3. How we use it
We use the information we collect only to:
- Operate the platform — letting teachers assign writing, students draft and revise, and teachers review and respond.
- Train teacher-specific AI feedback models that live inside that teacher's own account. These models are private to the teacher and the classes they teach. They are not shared with other teachers, other schools, or any third party.
- Improve our own product and fix bugs. When we do this, we use aggregated, de-identified data wherever possible.
- Communicate with teachers and administrators about their account and meaningful product updates.
4. The promises we make about student writing
Student writing carries weight in our system. The following four commitments are non-negotiable.
- Student writing is never used to train outside AI models. Not for product improvement that benefits other tenants, not under a research agreement, not in aggregate. Student work feeds only the teacher-specific feedback systems serving that student's own classroom.
- We do not sell student data. Ever. There is no line of business inside WritingProcess.app in which student writing becomes a product for anyone other than the student and their teacher.
- We do not show advertising to students or teachers on the platform, and we do not share student information with advertisers or marketing networks.
- Your data leaves with you. If a school's contract with us ends, we will return or securely destroy student data within thirty days, at the school's direction.
5. How we comply with student-privacy law
We are designed to comply with the federal student-privacy framework and the major state-level student-privacy laws that govern K-12 education in the United States.
- FERPA. When schools direct us to collect student records, we operate as a “school official” under FERPA's school-official exception. Schools retain control of the records we hold on their behalf.
- COPPA. For students under 13, accounts are provisioned by the school as a proxy for parental consent in the school context. We do not knowingly collect personal information directly from a child under 13 outside the school context.
- Student Privacy Pledge. Our practices align with the Student Privacy Pledge: we collect only what is needed, we do not sell student data, we do not engage in targeted advertising, and we honor parental rights through the school.
- A signed Data Privacy Agreement is available to any school or district. Email hello@writingprocess.app to request one.
6. How we keep your information secure
Student writing is encrypted in transit and at rest. Access to student information inside our systems is restricted to employees who need it to do their jobs, and that access is logged. We test our systems for security weaknesses on an ongoing basis and engage independent reviewers as part of that work.
No system is perfect. If we ever experience a security incident that affects student information, we will notify affected schools as required by law and as quickly as is reasonably possible.
7. Service providers we work with
We use a small set of carefully chosen service providers to host our platform, process payments for school-paid subscriptions, and send transactional email. These providers are bound by contract to process information only on our behalf and only for the purposes of operating the WritingProcess.app service. They are not permitted to use student information for their own purposes.
8. Rights of parents and students
Through the student's school, parents and eligible students have the right to review the information we hold about their student, request corrections, and request deletion. Because the school controls the underlying educational record, these requests are handled in cooperation with the school. We will assist any school that brings us a request.
9. International users
WritingProcess.app is designed for U.S. K-12 schools. If you access our service from outside the United States, your information will be transferred to and processed in the United States, where our servers are located.
10. Changes to this policy
We will post a notice on this page, and email administrators on record, whenever we make material changes to this policy. Older versions remain available on request.
